Title: Receptionist



Summary: This position, under the supervision of the Facilities/Office Manager, answers telephones, greets and escorts visitors to the appropriate location, receives and transmits telephone and other messages, and presents a professional image of the Foundation to callers and visitors. The receptionist is expected to have the switchboard open and operating promptly at 8:30 a.m. and throughout the day until 5:00 p.m., excluding lunch and breaks.





ESSENTIAL DUTIES AND RESPONSIBILITIES



Answer telephone calls, transfer to appropriate parties/ voicemail or take clearly written messages. Retrieve messages received overnight in general voicemail box and prepare appropriate message notification.

Provides callers with information such as Foundation address, directions to the Foundation, Foundation fax number, website, and other related information.

Collect any deliveries, including subscription publications from lobby desk upon arrival.

Responsible for opening and closing office from 8:30 to 5:00 p.m. to include locking and unlocking the front door and turning on lobby and rear hall lights.

Check travel/leave calendar and note daily absences. Check that current staff and extension lists are at desk.

Check conference center calendar daily. Confer with supervisor for special needs.

Greet and announce visitors in a friendly and professional manner, assist with coats. Offer refreshments as appropriate. Assist with directions to restrooms.
