Job Summary:
We are seeking a dynamic and organized Executive Secretary to provide high-level administrative support to the senior management of a reputed steel manufacturing company. The ideal candidate will ensure smooth office operations by managing schedules, coordinating communication, and handling confidential information with utmost discretion.
Key Responsibilities:
1. Administrative Support:
o Manage and maintain executives' calendars, including scheduling meetings, appointments, and travel arrangements.
o Prepare and edit correspondence, reports, and presentations for senior management.
o Handle daily office tasks, including filing, record-keeping, and organizing documents.
2. Communication Management:
o Serve as the primary point of contact between executives and internal/external stakeholders.
o Screen and prioritize phone calls, emails, and correspondence.
o Draft and review official communications on behalf of executives.
3. Meeting Coordination:
o Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
o Arrange video conferences and manage virtual communication platforms.
4. Confidentiality and Discretion:
o Handle sensitive information with absolute confidentiality.
o Maintain and secure official records and documents.
5. Office Management:
o Coordinate with various departments for smooth workflow and ensure timely delivery of tasks.
o Maintain office supplies and coordinate with vendors for office-related needs.
Qualifications and Skills:
Educational Background:
Bachelors degree in Business Administration, Secretarial Studies, or a related field.
Experience:
Minimum 3-5 years of experience in an executive secretarial or administrative role, preferably in a manufacturing or industrial setup.
Technical Skills:
o Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
o Familiarity with calendar management and video conferencing tools (e.g., Zoom, Microsoft Teams).
